Part B: Stall Facilities Provided by the Organiser
Depending on the stall size/category booked, the organiser will provide facilities from the applicable package, which may include:
- Allocated exhibition stall space as per category booked
- Table(s) and 2–3 chairs, as per stall size/package
- One 5 Amp plug point, and one 15 Amp plug point where applicable
- Wi-Fi/internet access, subject to availability
- Basic stall setup as specified by the organising committee
Exact inclusions depend on the stall size/category booked and will be confirmed at the time of booking. The organiser may alter facilities due to venue constraints or operational reasons.
Part C: LED / Additional Display Requirements
LED screens, TVs, digital displays, extra lighting, special electrical equipment, additional furniture or branding material not included in the package will be at the exhibitor's own cost, including installation and removal. Any such installation requires prior written approval of the organising committee and must meet the venue's electrical, fire and safety requirements.
The organiser will communicate exhibition dates, timings, setup, reporting and dismantling times in advance. Stalls must not be dismantled or vacated early without approval, and all goods and equipment must be removed within the dismantling period.
Terms and Conditions
1. Booking and Confirmation
A booking is confirmed only on submission of this form with the applicable stall fee and written/electronic confirmation by the organiser, who may accept or reject any application without assigning reasons.
2. Payment, Cancellation and Refund
The stall fee, payment mode and due date are as stated in Part A, and full payment is required to confirm booking. Fees once paid are non-refundable except as per the cancellation policy communicated separately, or as expressly agreed in writing.
3. Stall Passes and Entry Authorisation
Entry is limited to the passes/persons specified in Part A or later approved in writing. The organiser may restrict or revoke passes in case of misuse.
4. Exhibitor's Responsibility for Compliance
The exhibitor is solely responsible for all licences, registrations and approvals required by law, including GST registration, FSSAI licence (for food stalls), trade licences and intellectual property clearances. The organiser bears no responsibility for the exhibitor's non-compliance.
5. Nature of Products/Services and Genuineness
The organiser only provides exhibition space and does not verify, endorse or warrant the quality, genuineness or legality of any product/service. All representations to customers are the exhibitor's sole responsibility.
6. Transactions with Visitors/Customers
Any sale or dispute between an exhibitor and a customer is strictly between them. The organiser is not a party to, and bears no liability for, such transactions or disputes.
7. Limitation of Liability
The organiser is not liable for loss, theft or damage to the exhibitor's goods, cash or equipment, except where caused by its own wilful default or gross negligence. Exhibitors should arrange their own insurance.
8. Injury and Personal Safety
The organiser is not liable for injury, illness or loss of life to the exhibitor, its staff or visitors, except where caused by its wilful default or gross negligence. Exhibitors should maintain own relevant insurances.
9. Indemnity
The exhibitor shall indemnify the organiser, its office bearers, committee members and volunteers against any claim or loss arising from its products, services, conduct or breach of these terms.
10. Electrical/Fire Safety and Inspection
All equipment must meet the safety standards prescribed by the organiser and venue, and sanctioned load limits must not be exceeded. Hazardous or prohibited material may not be stored or displayed. The organising committee or venue authorities may inspect any stall at any time and require rectification or removal of non-compliant items.
11. Stall Timings and Vacation
Exhibitors must follow the reporting, setup, exhibition and dismantling timings given by the organiser and must not vacate early without approval. Goods left beyond the dismantling period may be removed by the organiser at the exhibitor's risk and cost.
12. Conduct and Photography
Exhibitors must conduct themselves professionally towards visitors, fellow exhibitors and committee members. The organiser may close or remove a stall, without refund, for misconduct or breach of these terms, and may photograph or record the exhibition for promotional use unless a written objection is received in advance.
13. Force Majeure
The organiser is not liable for postponement or cancellation due to circumstances beyond its control, such as natural calamity, government order or pandemic. In such cases, liability, if any, is limited to a refund after deducting expenses already incurred.
14. Amendment, Notices, Severability and Jurisdiction
The organiser may amend these terms, the facilities offered or the exhibition schedule at any time, with notice to exhibitors by email, WhatsApp or phone to the contact details given in Part A, which shall be deemed valid service. If any clause is held invalid, the remaining terms continue to apply, and this form together with these terms constitutes the entire agreement between the parties. These terms are governed by the laws of India, with the courts at Pune having exclusive jurisdiction.

Participation as an exhibitor is voluntary and subject to acceptance of this form and these terms. Nothing herein creates any partnership, agency, joint venture or employment relationship between Agarwal Samaj Pune and any exhibitor.
